Central Billing System Help
CBS - The Billing System that Shares

CBS is a flexible billing system for invoicing your products and services to your Customers and sharing your revenue with your suppliers in accordance with agreed terms of trade. CBS ideal for a modern business with suppliers, such as Associates / Partners / Contractors, who accept a % of the revenue as payment for their Products and Services.

CBS requires a PC running Window 98 or higher with a minimum Screen Resolution of 1024 x 768. CBS is delivered as a self installing executable file and requires 20 - 30 MB of disk storage after the Wizard has completed the installation. Disk requirement will grow as you add more records and transactions to the CBS database. CBS uses Microsoft Access for its printing function and in addition, CBS presents Microsoft Excel for you to use in the Products screen if it is installed on your system.

Our i&A EULA for CBS authorises you to install and run CBS in a Microsoft Windows environment on one Personal Computer or Laptop for one real organisation. 

CBS License Fees
CBS Personal is free and supports up to 3 Customers and 3 Suppliers. You can upgrade to CBS Professional for an unlimited number of Customers and Suppliers by paying the CBS Pro License Fee and activating it with a valid Software License Key.

Setting up CBS

File / Select Company ... 

CBS is initially supplied with 2 activated companies:

 A Play Pen for understanding how CBS works.

 A Real Thing to use to setup and administer your business operation.

A CBS Software License Key is required for each additional CBS operating company.

Before setting up The Real Thing with real details and operate it in the real world, we strongly recommend that you use the CBS Play learn more about how CBS works.

From the top menu, use File / Select Company ... to choose the company you wish to work with.


Setup a Company with its associated information, Roles, Terms of Trade, Company details, Customers, Suppliers, Products and Services. To understand the relationships between the various elements of CBS; practice invoicing some Products and Services to Customers, receiving customer payments of your invoices and generating Remittance Advices to pay your suppliers.
You will know you are ready for The Real Thing ...

File / Role Setup ...

This key part of CBS is where you setup the default Roles and % Rewards that CBS uses to calculate and pay Suppliers for their Products and Services. As applicable, CBS uses Cost of Sale (CoS) and Expense Distribution Profiles to calculate and produce Remittances Advices to pay Suppliers for their Products and Services.
 
A Cost of Sale (CoS) Distribution Profile is used to calculate payments to Product Supplier(s) as either a $ amount or a % share of the Sale Price per Product Unit. Similarly, CBS uses an Expense Distribution Profile to calculate payments Services Supplier(s) as either a $ amount or a % share of the Gross Margin per Service Unit (typically time or event based). 

 

The default %s for these CBS Product and Services Distribution Profiles are setup using File / Role Setup ... to Add, Edit and Delete Roles. This is also where the various Roles for Products and Services can be mapped to your Chart of Accounts for accounting and reporting purposes.


Once these default Role %s have been setup, they become the defaults for CBS to calculate the Remittance Advices to pay Suppliers for their Products and Services.

File / Terms of Trade Setup ...
Use this section to define a seperate range of Terms of Trade for your Customers and for your Suppliers.

For your Customers, your Terms of Trade are the agreed period of time after which you expect  your Customer to settle your invoice (your Accounts Receivable) for the Products and Services you sell to them. For your Suppliers, the Terms of Trade are the agreed period of time after which your Supplier expects to receive full settlement of their invoice (your Accounts Payable) for the Products and Services they provided to you.


CBS comes with a range of Terms of Trade options for both Customers and Suppliers. You can Add to, Edit or Delete any of these Terms of Trade options - and select your default Terms of Trade in the File / Company Setup ... section of CBS.

File / Company Setup ...
Use this section to enter t
he following information about your operation:

 

Company Name, Short Name, Postal Address.


Tax Number

Default message for Customer Invoices.

Default message Supplier Remittance Advices.

Default Roles and Party that receives any balance remaining in the Product or Service Expense Profiles.

The default Terms of Trade for Customers and for Suppliers.

The Name and rate of any Tax that applies as an additional % charge on the pre-tax price of any Products or Services supplied to Customers.
Note1: The CBS default Tax name is GST (Goods and Services Tax) and currently applies to all Customers at the rate of 15% on Products and Services.
Note2: A Customer can be specifically excluded from Tax liability in the CBS Customer screen.
Note3: The Tax rate for a specific invoice can be set to zero.

 
Running CBS

Customers
Use this screen to enter information about each of your Customers. This information is used for Invoicing and processing Accounts Receivables.

Use the Tax tick boxes buttons to show if Tax applies or the Customer is exempt from Tax.
Determine the specific Terms of Trade for a particular Customer using the ToT drop down list box.

 

Suppliers
Use this screen to enter information about each of your Suppliers.
The Person Name is as important as the Business Name because the Person Name is used to invoice the services of the Business when the Business is a Supplier for a Customer services project.
Use the Tick Boxes to identify if the Supplier provides Services or Products or both. 
Determine the specific Terms of Trade for a particular Supplier using the ToT drop down list box.

 

One of the roles your own business performs as a Supplier is the Management Role. Consequently, CBS automatically uses your Company information to setup your business as a Supplier.


Products
Use this screen to set up each of your Products with their Version and Packaging.
Identify the Product Supplier and establish your default Retail Price for the Product.

And then for each Product:

1.      Add the Customers for which the Product Cost of Sale and Expense Profiles apply.
Note: Unless specified otherwise, the default Profiles apply to all customers;

2.      Setup the Cost of Sale Profile;

3.      Setup the Expense Profile;

 

If it is installed on your system, when clicked the Open Excel button on the top right side of this screen will open Excel for you.


Services
With CBS, Services are delivered to Customers through Projects using contracted services from your Suppliers. Once paid, these Supplier Services are expensed to your business.

Use this screen to setup specific Projects for specific Customers that deliver Services using selected Suppliers. You can bill the Services of each Supplier in a Project to a Customer at the agreed rates.

 

Once a Project is defined, select the Customer from the drop-down box, record the Customer Reference (such as an Order Number or internal reference) and then for each Supplier you are using on this project:

1.      Add (or edit) each Service Supplier for the Project, detail the Charge Unit and the agreed Rate for the Project;

2.     For each Supplier, complete the Cost of Sale Profile as appropriate.
Note: For the majority of Service Projects the CoS Profile typically has no entries because most remittances to Service Suppliers in Projects are determined by the Expense Distribution Profile.

3.      Complete the Exp Profile for each Supplier as appropriate.

 

Invoices and Accounts Receivables (AR)

Use this screen to:
Create a New Invoice for a Customer for any combination of Products and Services
Edit a selected Invoice

View a selected Invoice on your screen

Print a selected Invoice

Receive Payment ... to receive full or part payment for a selected invoice.

 

Remittances

When a Customer payment is received, radio buttons can be used to EITHER immediately generate Remittance Advices from the received payment to pay the Suppliers for their Products and / or Services OR when appropriate, generate the Remittance Advices for Customer Payments Received against Customer Invoices for a specified period.
For a given invoice, use View Remittance to see how the money will be remitted to the Product and Services Suppliers.


In the Remittances screen you can choose:

All Receipts that have not been remitted

Receipts in a selected Date range

 A specific receipted Invoice

View or Print a selected Remittance Advice


Reports
Use this screen to select, View and Print various Activity and Status Reports that flow from the Customer Invoicing, Accounts Receivable and Supplier Remittance business cycle.
CBS Activity Reports typically show information for a selected period (From dd/mm/yy To dd/mm/yy) and Status Reports show balances as at Today.

 

CBS Reports can be printed in a range of formats (Access Report, Word, Excel, PDF, CSV) and exported for Business, Accounting, Banking or Management purposes.

 

Note: CBS uses the Microsoft Access engine for reporting; so please ensure that Microsoft Access is installed on your system.

 

Other CBS Features
Use the Find field at the bottom left hand corner of each screen to find and display records that contain the search characters you specify.

Left Click to zoom in or out when viewing CBS documents and reports.

Double-click on the pie chart in the Product or Project screen to see more detail.
